Volunteer Coordinator, Part Time

The part-time, non-exempt Volunteer Coordinator position reports to the Manager of Volunteer & Intern Programs in the Education department.  The primary responsibility of this position is to serve as the secondary point of contact for all matters pertaining to the department. The primary duties of this position are the recruitment and onboarding of new volunteers, coordination of current volunteers, and associated administrative tasks. The Volunteer Coordinator is well versed in all aspects related to volunteerism and works closely with the Manager and a second Volunteer Cooordinator to strategically expand and enhance the department ensuring that the program meets the needs of the Aviary. 

Essential Functions

  • Develop and implement strategies for targeted recruitment, organization, and management of volunteers to meet the needs of the National Aviary.
  • Maintain and expand volunteer recruitment ads and online accounts. 
  • Respond to all incoming general correspondence and  prospective volunteers in a timely and accurate manner
  • Work with social, civil and local organizations to develop partnership, where appropriate, to develop and/or utilize volunteers 
  • Assist the Manager with effective orientation and onboarding for new volunteers and interns.
  • Support interdepartmental efforts to increase and improve volunteers’ level of customer service, visitor engagement, professionalism, and avian knowledge. 
  • Assist the Manager in monitoring the volunteer’s engagement level with visitors
  • Provide the Manager with support in the process of evaluating the contribution of individual volunteers and interns.
  • Refine the onboarding system to reduce the amount of time it takes for a volunteer to get on board
  • Develop, support, and monitor volunteer rewards and recognition programs and monthly volunteer spotlights.
  • Assist the Manager with managing the volunteer schedule and the Volgistics database
  • Maintain volunteer and intern files and contact information
  • Prepare and organize materials for volunteer meetings and orientations; 
  • Act as back-up to the Manager of Volunteer & Intern Programs.
  • Responsible for all other tasks, as assigned, by the Manager of Volunteer & Intern Programs
  • Interact with visitors utilizing Aviary Visitor Engagement protocol.


  • Bachelor degree preferred
  • 1 -2  years relevant experience in volunteer management 
  • Knowledge of current trends, resources and information related to volunteerism
  • Ability to establish and maintain effective working relationships with volunteers, fellow departments, and the public
  • Strong communication, organization and project management skills with experience in managing simultaneous projects in a fast-paced environment
  • Ability to work evenings, weekends and holidays, indoors and outdoors.
  • Proficiency and experience with Volgistics or similar database and Microsoft Office products a plus.

Physical Demands

While performing the duties of this job, the employee is regularly required to stand/sit and move about for extended periods of time. Work environments will include climate-controlled office spaces and public areas where the noise level may be loud.
